Airbnb Review Response Templates: 5-Star, Mixed, Negative and Late Reviews

A guest review is public forever (unless Airbnb removes it). Your reply sits under it for every future guest who scrolls. A short, calm response can turn a mixed review into proof that you listen. A long, defensive one makes a small problem look bigger.

Below are copy-paste Airbnb review response templates for the four situations hosts hit most: glowing 5-stars, mixed feedback, negative reviews, and reviews that arrive late or feel unfair. Each follows Airbnb's own advice: thank the guest, stay factual, and say what you changed when something went wrong.

How Airbnb reviews and replies work

Airbnb's Help Center covers the basics (How reviews work):

To reply as a host (Responding to reviews): Profile → Reviews → Reviews about you → Leave public response. You can also reply from Insights. The reply posts immediately and appears on your listing with the original review.

Rules that keep every reply useful

Airbnb's Resource Center guidance on bad reviews is simple (How to handle a bad review): thank the guest, acknowledge the issue, and say what you improved. Add these host rules on top:

Do Don't
Keep it under ~80 words Argue point-by-point in public
Thank them for staying and for the feedback Blame the guest, their kids or their dog
Name one specific fix when something went wrong Share private messages, phone numbers or medical details
Sound like a person, not a legal letter Threaten to sue, "report" them to Airbnb in the reply, or demand a change
Reply within a few days while the stay is fresh Ignore 5-star reviews (future guests notice silence too)

If a review looks retaliatory after you reported damage, an unauthorized party or another serious policy violation, request removal with documentation instead of fighting in the reply box (How to handle a retaliatory review; Reviews policy). Removal isn't guaranteed — still leave a short public reply while you wait.

Template 1: Five-star / glowing review

Use this for clean 5-stars and "we loved it" reviews. Future guests should feel the home is consistent, not lucky.

Thank you, [Guest first name]! We're so glad [the patio mornings / the walkable location / the quiet bedroom] worked for your trip. It was a pleasure hosting you — you're welcome back anytime.

— [Your name], [Home name]

Why it works: It mirrors one detail from their review (shows you read it) and invites a return stay without sounding needy.

Shorter version:

Thanks so much, [Guest first name]! Thrilled you had a great stay at [Home name]. You're always welcome back.

— [Your name]

Template 2: Mixed review (4 stars, or 5 stars with a nitpick)

Mixed reviews are gold for future guests: they prove you take small issues seriously.

Thank you for the kind words about [the location / the kitchen / check-in], [Guest first name], and for flagging [the Wi-Fi / the street noise / the thin towels]. We've [upgraded the router / added a white-noise machine and earplugs / replaced the towel set] so the next stay is smoother. We hope to host you again.

— [Your name], [Home name]

If the nitpick was already listed (for example, street parking):

Thanks for staying with us, [Guest first name]. We're glad [X] worked well. On [parking / the stairs / the older building], we call that out in the listing and welcome book so guests can plan ahead — and we're always open to ideas that make arrival easier. Appreciate you taking the time to write.

— [Your name]

Template 3: Negative review (3 stars or below, or a sharp complaint)

Airbnb's suggested shape: thank them, apologize for the specific issue, state the fix. Do not re-litigate the stay.

Thank you for your feedback, [Guest first name]. We're sorry [the hot water / the cleanliness of the bathroom / the AC] didn't meet the standard we aim for. Since your stay we've [had the water heater serviced / retrained our cleaner with a photo-first checklist / replaced the AC unit in the bedroom]. We take this seriously and hope you'll give us another chance in the future.

— [Your name], [Home name]

If part of the review is wrong but part is fair:

Thanks for writing, [Guest first name]. We're sorry the [checkout timing / noise from the street] frustrated you. For anyone reading: [checkout is 11 AM and listed in the Arrival guide / the home sits on a busy corner, which we note in the listing]. We've also [clarified the checkout card / added blackout curtains and earplugs] based on your note. We appreciate honest feedback.

— [Your name]

Never write "the guest is lying" in public. Future guests decide who sounds reasonable.

Template 4: Late, one-sided or "gotcha" review

Sometimes a review posts after the 14-day window closed on your side, or it focuses on something you already fixed mid-stay in messages. Keep the reply about the home, not the timeline fight.

Thanks for your review, [Guest first name]. During your stay we [sent a new code within 10 minutes / had a plumber out the same afternoon / offered a partial refund for the outage], and we're glad we could help in the moment. We've since [updated the lock battery schedule / added a backup space heater]. We hope the rest of your trip went well.

— [Your name], [Home name]

If you believe the review violates policy (retaliation after a damage claim, hate speech, content unrelated to the stay): file a removal request with photos and the message thread, then still post a short factual reply like the one above so the listing isn't silent while Airbnb investigates.

When to reply vs. when to dispute

Situation Reply publicly? Also dispute?
5-star praise Yes — short thank-you No
Fair complaint you can fix Yes — thank + fix No
Factually wrong but not policy-violating Yes — calm clarification Usually no
Retaliatory after you reported a serious violation Yes — short and factual Yes, with evidence
Hate speech, threats, or unrelated attacks Minimal or none until Support advises Yes

Save your best replies as quick replies in Airbnb so you're not drafting from scratch at 11 PM. Review responses belong in the same library as your check-in, mid-stay and checkout scripts.

Frequently asked questions

Can hosts reply to Airbnb reviews?

Yes. After a review is published, open Profile → Reviews → Reviews about you (or Insights) and choose Leave public response. The reply posts immediately and appears with the original review on your listing (Airbnb Help: responding to reviews).

How long do guests and hosts have to leave a review?

Both sides have 14 days after checkout. Reviews publish when both are submitted or when the 14-day window ends, whichever comes first (Airbnb Help: how reviews work).

Should I respond to every Airbnb review?

Reply to negatives and mixed reviews every time. Reply to strong 5-stars when you can — a one-line thank-you shows future guests you're active. Skip only if Support has told you not to engage while a dispute is open.

Can Airbnb remove a bad review?

Airbnb may remove reviews that violate its authentic-and-trustworthy reviews policy (for example, clear retaliation after you reported a serious violation). Removal isn't guaranteed; submit evidence and still post a short public reply (retaliatory reviews).
